What not to do for a surprise party!

Saturday was V’s birthday, so her husband decided to a have a surprise party for her on Friday afternoon after work. Email was circulated amongst everyone a week or so earlier, regarding details of time and place and what to prepare. All went well and they even decorated the place in a real cheerful party like way.

20 minutes or so before our departure time, two collegues went up to say to the birthday girl, “Sorry we can’t attend your party today.”

(Uh, what happened to the email part of “don’t let the b-day girl know; it’s a surprise”?) Oh well, we had fun anyway.

Later on their were some chit chat about other surprise parties that didn’t work out. So here, I’ve put together a list of what not to do for a surprise party. These are all tested and true!

1. DON’T INCLUDE THE BIRTHDAY BOY/GIRL IN YOUR MASS EMAIL NOTIFICATIONS.
In one case, someone mass emailed all colleagues and forgot to EXCLUDE the birthday star.

2. DON’T PUT REMINDERS IN THE BIRTHDAY BOY/GIRL’S OUTLOOK CALENDAR.
At work, we tend to use outlook calendar to organize events and set up meetings. However, if it’s supposed to be a surprise, don’t put it down on the calendar.

3. DON’T APOLOGIZE TO THE BIRTHDAY BOY/GIRL ABOUT NOT BEING ABLE TO ATTEND.
Which is exactly what happened in this case.

4. DON’T TAKE THE STAR TO THE WRONG LOCATION.
Despite earlier communication with the organizer, the person in charge of bringing our birthday girl, went to the wrong side of the restaurant. We had a private booth but he wasn’t aware of it. We found each other no problem, but for a short while we were kinda concerned.
